RESPONSIBILITIES OF THE ORGANIZATION
Making posters for the restaurant. Information to include on posters:
a) The name of the group
b) Date and time of the benefit
c) Reason for the benefit.
Posters need to be done on poster board. They should be colorful and eye catching. Do not include the percentage of sales that the organization will be earning. Posters will need to be approved for content before they are hung and should be dropped off at the restaurant two weeks prior to the event. When the posters are dropped off you should also drop off any other flyers or advertisements you are using to promote the event. If posters are not received on time event will be rescheduled.
Group needs to advertise in other ways too.School Announcements, flyers, notes home, church bulletin, temple talks, newspapers, posters in other establishments like the school, reader boards, e-mail, phone a friend. We ask that you include a list of the ways you will promote the event with your request and copies of actual items that are distributed. Offer challenges or incentives. Each member or student to call and invite 10 friends/family. “No Homework Passes” for students that come with family. Celebrity guest; Principal, favorite teacher, mayor, star athlete, etc. Email each member of your group with details of the event. Have each of them email family and friends. Send out a follow up email the day before to remind everyone to come. This has shown proven results at recent events.
Organize a group of workers. The event must be staffed with a minimum of 4 people per hour from your organization throughout the entire event. Each of these workers needs to complete a release form. A copy is enclosed for you to review. Make copies of this form and have each worker complete it prior to or upon arrival at the event. These need to be given to co-coordinator or the attending Store Manager the night of the event. Scheduling groups of 4 every hour or half hour minimizes the time members have to work and creates more traffic. Workers will complete duties of washing off tables and chairs, bringing service trays to the counter area, opening the doors and welcoming the customers to your fundraiser, wiping off the beverage/condiment area and spot sweeping. In addition a worker can be placed at each door as a greeter. It can also be arranged for someone to present orders at the drive thru window. A McDonald’s worker will be available for details such as changing trash liners and mopping up spills and cleaning the restrooms.
Your group is responsible for informing the local media of the event and arranging media coverage of the event and the check presentation. Again, include this information on your request for the benefit night of what media you have planned to contact.
*Please note; we reserve the right to cancel any benefit night if the group does not meet the responsibilities that are outlined on this sheet.
RESPONSIBILITES OF THE RESTAURANT
Event is to be scheduled with Marketing Supervisor, Mary Byers. Decide on a time frame and day, with at least one month of planning time prior to the event. We do a three-hour window for the benefit. Evenings work well from 4 – 7 pm. You may consider doing this at the time of your groups’ regular meeting.
The restaurant will put the event on the Road Sign.
First group of workers will be given supplies and shown how the cleaning is to be done. That group will show the next group the same and so on. A McDonald’s worker will be available to assist you during the event if questions arise.
Group will earn a % of the sales from both drive thru and counter sales.
i) Structure of the percentage of sales is based on the following
(1) Sales of $1200.00 and below will earn 10%
(2) Sales of $1201.00 to $1500.00 will earn 15%
(3) Sales of $1500.01 and above will earn 20%
A check presentation will be arranged for the week following your event.
